General Description:
Advances the mission of the Hospital by increasing the level of involvement and philanthropic commitment of people in the Hospital’s service area. This professional position functions as an office manager with particular emphasis given to donor relations, which requires a substantial amount of independent judgment and individual action. Responsibilities including Board, volunteer, meeting, travel and correspondence coordination, exercised under pressure of deadlines from multiple sources characteristic of a sophisticated, comprehensive fundraising program. The position shall exemplify the desired Culture of Choice® and philosophies of Parrish Healthcare.

Key Responsibilities:
  • Supports the Executive Director as executive assistant/office manager, serving as board liaison, volunteer coordinator, scheduling appointments, arranging travel, and supporting and overseeing quality of all operations.
  • Facilitates all activities associated with the meetings of the Board of Directors, including developing initial agenda and comprehensive board packet. Coordinates with key board members, items to be reported.  Coordination of financial statements with the Foundation accountant, recording minutes and assisting the Executive Director in ensuring all action items are completed as agreed to by the board. 
  • Facilitates all activities of the Finance Advisory Committee meetings, including developing agenda in coordination with Investment Manager. Oversees all investment deposits and withdrawals with direction from the Executive Director. Recording minutes and assisting the committee in ensuring all action items are completed. 
  • Serves as staff liaison to the NBMS Grants Committee, including review of incoming grant requests and coordination of Grant Review meetings. Monitors available grant funds with confirmation from Foundation accountant. Distributes grant awards and ensures grant reporting requirements are met. 
  • Responsible for daily data input, edits, postings, database growth and the management of its integrity.  Responsible for deposits, acknowledgement of all contributions and providing necessary analytical reports. 
  • Develops and recommends Foundation acknowledgement process. 
  • Oversees and coordinates payment of all invoices and assists in expense tracking. Prepares and maintains annual budget notebook. 
  • Works in conjunction with and/or serves as the back up to the JPMF database administrator to maximize effectiveness of data, queries and reporting.
  • Works in conjunction with and/or serves as the back up to the JPMF website administrator.
  • Serves as office manager and coordinates all operations.
  • Serves as records custodian to ensure compliance.
  • Performs similar or related duties as assigned.
  • Knows fire, disaster and safety procedures and regulations as it pertains to the work area 
Requirements:

Formal Education:
  •  High School Diploma or GED required. 
Work Experience:
  •  3 years to < 5 years. Administrative assistant level experience preferred.
